WJAA Meeting Minutes

March 28, 2006

 Attendance:    Jim Jermer, Mike Pope, Tracy Coffey, Mike Poole, Paul Keith, Angie Walls,  Travis Fisher, Scott Royer, Jamie Wolfe, Lowell Smith, Ron Hamilton, David Hollins, Chris Smith, Jim Wetzel, Kim Imbus, Scott Lefker

Secretary report:   February minutes read.   Motion to accept by Paul Keith, 2nd by Travis Fisher

Treasurer’s report:    Balance as of March 28 please see Treasurer for amount.  13 payments left on Tractor.

Committee reports:

Softball:  Team fees of $150 were paid.  The umpire clinic was held on March 18.  Only 5 or 6 showed up.  A manager/coaches Mandatory meeting will be held on April 4 from 6-9 at the Bethel Intermediate School.  Schedules are done and have been distributed to the coaches.  See Mike if you don’t have yours. 

Soccer:  A motion was accepted by Travis Fisher and seconded by Kim Imbus to have an umpire class.  Soccer signups will be held on June 17 from 11-2.

Baseball:  Rosters need to be in by April 1.  Schedules won’t be ready for a couple more weeks.

Basketball:  We didn’t need to use the gym for tournaments on Sunday so we won’t be charged.  Monte had a banquet for the basketball teams.  We should be getting half the money on shirts that were sold at tournaments.

Concession:  The pipes have been fixed in the concession stand.  Kristy has put together a procedure manual for the concession stand. 

Old Business:  David Hollins will be getting a committee together for the Haunted Woods. 

Adam Bailey is getting a committee together to get information on football.

Mr. Isaac wants to keep the wresting outside of WJAA. 

Paul Keith will be purchasing Soccer goals this month for the U6/U7 field. 

Locks are being changed on the barns. 

Kid glove tickets are $8 and are now on sale.  The dates for the games are May 9, May 10, May 22 and May 23 and all games will be at 7:10. 

Kids day is schedules for June 17.  The theme this year is “Favorite Sports Team”.  Adam Bailey’s team is sponsoring Kids Day.  Anyone that wants to donate for the Raffle contact Tracy.  Last year kids day brought in about $5,400. 

Pictures for Softball/Baseball will be May 8, 9, 11, and 12. 

SOS will be delivering the port lets. 

Jim Jermer will purchase First Aid Kits and put one in the Concession Stand and one in the Shed. 

The gas was delivered March 28.  Jim Jermer will get a lock for the gas tank.

New Business:  The concession stand and field schedule are being worked on.  Coaches need to check the calendar in the shed for practices and games. 

Field clean-up has been changed to April 1 at 10 am and April 2 at noon

CSI will start picking up trash on April 1. 

We need gravel for the parking lot. Paul will get with Barry for gravel. 

We need quotes for Metal building roof. 

The excavating needs to be looked at and need to get quotes to get it fixed. 

Four Pitching machines were purchased by Travis Fisher for Baseball/Softball. 

David Hollins was nominated for VP of Fundraising by Tracy Coffey and was accepted.  David Hollins will start the meetings in July for the Haunted Woods.  He will bring the budget amounts to meetings for each fundraiser and will they will be voted on. 

Baseball is having games on Kids Day. 

Ice machine is shot.  Paul made a motion to get rid of the ice machine and start buying bagged ice.  The motion was 2nd by Kim Imbus.  Paul will look into getting a bagged ice container. 

Mike Poole proposal that we get masonary sand for fields was declined. 

Diamonds in the Rough Essay contest was mentioned.  Two people in Cincinnati will win.  Kids that write an essay have to send it in by April 30.

 PROPROSED BYLAW CHANGES

F.     MANAGERS AND COACHES:   1.   Coaches will be selected from available personnel by the Vice President in charge of the sport.  May be helped by President.          Passed

G.    RULES:    1.   b.)  There is a maximum of 14 players allowed per team.  Existing teams as of 2006 with more will be required to keep the number of players already on the existing roster.  Passed

I.      UNIFORMS AND SPONSORSHIP:        9.   There can be personalized uniforms (last names, etc.) with a parent’s signature allowing it (form with signature must be giving to the Executive Vice President to be Ok’d).        Passed

12. c.)  A sign will be displayed for a one year period (Nov.-Nov.) at the W.J.A.A. fields and posted in gymnasium during basketball for all sponsors/sports within that year.  Passed

J.     EQUIPMENT: 7.   A First Aid Kit will be available in the Concession and Equipment Barn in case of injury.  Passed

N.    TEAM SELECTION AND PLAYER PLACEMENT:       1.   Only the Head Coach and 1 Asst Coaches daughter/son is placed on the team.    Passed

1. a.)    Asst coaches/players must follow the rules under F. Managers & Coaches.  Passed

7.   Two teams in the same age bracket:             Passed

7a.)  The team with fewer players will get any new players until team equals that of the other team.           Passed

7a1.)  If both teams are at the same number then new players will be randomly drawn.  The 1st player drawn will be placed on a team by flipping of coin by VP of the Sport.              Passed

7b.)  If a team falls below the minimum number needed to play the following will take place in this order:   Passed

7b1.)  The teams will be combined as long as it does not go over the maximum allowed per team unless coach and district rep OKs per league rules.           Passed

7b2.)  If over maximum, then volunteers will be asked first to leave the full team and switch to fill the roster to make enough to play on the other team.                       Passed

7b3.)  If no volunteers, and the Vice President of the Sport can not resolve the issue, it will be resolved by the grievance committee.     Passed

O.    PLAYING TIME:             1a.)  All Age Divisions must bat all players in accordance with the all batter-batting rule.  Each player must play at least two (2) full innings in the field in each game.  Passed

 1b.)   Must follow all other league rules.             Passed

2b.)   Must follow league rules with batting options.         Passed

2c.)    Must follow all other league rules.             Passed

5. A Manager/Coach must notify the Vice President of that sport if they intend to hold a player out of a game for any disciplinary reasons including but not limited to missing practice.   Passed

P.     FIELDS:   4a.)  In case of any problem/issues that may arise with the field/property and so that WJAA knows who to contact, you must list your name on the schedule any time you use the field(s) for any reason.       Passed

Q.    SPECIAL RULES:            3.   W.J.A.A. has a ZERO tolerance with physical contact at any W.J.A.A. function-involving children and will result in barred temporarily or permanent from any further participation in W.J.A.A. functions.            Passed with 1 opposed

R.    BYLAWS:            1.   Any changes must be presented as a proposal first then the next month will be voted on for approval/disapproval by all members.      Passed

Motion to adjourn meeting at 9:25 p.m. by Scott Royer, 2nd by Mike Poole

Next meeting was scheduled for April 25, 2006 at 8:30 p.m. at Church.
