WJAA June Meeting Minutes.

 Attendance:  Tom Fishback, Kristi Fishback, Scott Royer, Betty Meadors, Mike Pope, Jeremiah Chase, Angie Walls, Troy Bach, Lowell Smith, Paul Keith, Tracy Coffey, Karen Royer, Tim Meadors

 Open Meeting @ 8:32 p.m. Motion to accept by Kristy Fishback, 2nd by Betty Meadors

 Secretary report:  Handed out April and May minutes to be read.  April was accepted by Scott Royer and 2nd by Tom Fishback.  May was accepted by Kristi Fishback and 2nd by Lowell Smith.

 Treasurer’s report:  Balance as of June 27th of (Please see Paul for amount) accepted by Mike Pope, 2nd by Tom Fishback.

 Committee reports:

Softball:  Mike not at meeting will get his report next month.

Soccer:  Deadline is July 15 for paperwork and payments.  There will be no Sunday games.  U6 games will be only one day a weekend.  We didn’t have many kids signup yet.  Coach’s need to contact old players to see if they are playing this year.  We need a new district rep, since Tracy isn’t allowed to be both President and Soccer Rep.  We need a new Referee Cordinator for WJAA.  Please ask the parents if they are interested in filling this position.  The team drawls are July 29. 

Basketball:  The lady that sold the shirts at tournaments hasn’t paid us yet.

Baseball:  At the county meeting, the team drink amount at WJAA was complained about and we changed it to $7 instead of $10.  The fee amount wasn’t written anywhere for the league that had a certain amount.  The cost for end of the season tournaments is $60 per team.  Mike thinks it will be $120 for city , if anyone makes it that far.  Franchise designation has to be on the shirts(Blue & White &”W”).  A-Senior tournament will be at WJAA fields if there’s enough teams ince there wasn’t any other place to have them.  The games will take about a week and half and will be on field 5.  Should get bins with drinks in them for the concession on those days.  League will reimburse for Umpires for the games.  We will get what we pay.  Mike will get bracket to Tracy to post at concession and on website.

Concession:  June in Old Williamsbugh wasn’t worth 3 days.  We cleared about $500 to $600 after exprenses.  We had a lack of help setting up.  Mid-season tournaments were good. The county people(5) ate a lot more than they should have for free.  Need to let the Reps know that we aren’t doing that next year.  We still have a lot of riblets left.  You get 48 riblets for $20.  We have 8 boxes of riblets and a couple of burgers.  We will need to buy supplies for Haunted Woods.  Parent’s/coach’s need to make the cleanup procedures are done.  Need help to take garbage cans to dumpster.  We will get a bill for the auxier with the credit on it.  Questioned wether we should get rid of the slushy machine next year and maybe get something different.

Haunted Woods:  Path will be the same way this year.  Dave will call people in July. We need donations for Haunted Woods.  Should we have the skits sponsored?  We can put signs by each skit saying who sponsored it.  Maybe we can keep part of the money for WJAA to use.

Old Business:  

Locks on Barn…Doors still need painted

Lids is on the back

Kids day received around $900. 

Coach’s need to make sure the gates are locked when you leave.

We need to have a sign made with out rules to be put further down the lane.

Next year we will only reserve 150 tickets to Kid Glove day and will maybe have a bus take everyone.

New Business

For the equiptment that Felicty receives from Kids Glove tickets sold, they allow the coach’s to pick the equiptment they need.  Maybe we could do ½ for teams to pick and ½ to get plates and general items.  Have the coach’s tell us what we need.  Tracy has a list of things she know we need to order.  Should we get the spikes to help line the fields?  We could use them for soccer, baseball or softball. 

Tracy mentioned a fundraiser idea of selling hotdogs at Riverfest.  WJAA used to do it years ago.  Tracy will try to get more information.

We need to do something else with the garbage cans.  At another field Tracy seen they used chains and chained them to the fence.  We could have one chained to each field.  For soccer they can go on the fence also.  Tracy will test the idea and see if it keeps the animals out.  Tracy will also call CSI and see about cans with wheels.

The Umpires have been questioning how they are paid.  We have bee over paying Softball umps.  We have paid $4,785 for umps so far.  We saved $130 by pulling the extra ump pay for softball.  If there is only one ump at each field then they are to only get paid for one ump fee.  Tracy Motioned to add a bylaw(H2a1) stating :  One umpire will be assigned for each league game for all ages.   We will vote on this next month.  The umpire pay is as follows:

Kristy made a motion to change the fees to the above suggested amounts.  The motion passed 10 for, 1 against.

Mike will check to see what the district rates are.

The ditch work still needs to be done.  Neil Cadwalder said he can do it for $1,150 on July 9.  They would need 6 people to help.  Paul motioned to have Neil do the work.  The motion passed.  Tracy will contact Neil tomorrow. 

All the supplies for the benches are here.  It would be nice to get the bench’s done the same day we have people here to do the ditch’s.

Tracy did field scheduling for Baseball/Softball this year. 

Tracy proposed a bylaw change as follows:

 D. Appointed Positions:

                        1. Field Managers(S):

                                    a.  Will be responsible for the general up keep of field maintenance equiptment.

b.  For Baseball/Softball-Will drag and line all fields necessary to maket hem playable for games.

c.  For Soccer-Will line all fields for game days, secure nets and check fields for rocks, etc.

d.  Will mow fields, unless approved by association to hire somebody to mow complex.

e.  Will be responsible to flag the fields after determining whether fields can be played/practiced on.

2.      Head of Umpires/Referees:

a.      Will be responsible for certifying all umpires/referees through the appropriate league guidelines and restrictions.  Vice President of sport will do if nobody is appointed for this position.

b.      For Baseball/Softball-  Will give list of certified umpires to Umpire Scheduler.

c.       For Basketball/Soccer-Will Schedule/assign all referees for league games.

 

3.      Field/Umpire Scheduler:

a.      Will be responsible for the upkeep of the field schedule both online and in the shed.

                                                                                                  i.      Will update my scheduling due to rescheduled/make-up games.

1.      Coaches must contract Field schedule to keep updated.

b.      Will be responsible for scheduling/assign all umpires for Baseball/Softball

                                                                                                  i.      Will receive list of certified umpires from Vice President of the sport or head of umpires.

                                                                                                ii.      Will be in charge of rescheduling any umpires due to cancellations.

                                                                                              iii.      Will be in charge of contacting umpires in case of rain outs.

Paul Keith said the Vice President of each sport needs to do their job and do it right.  There wouldn’t be problems if they did what they are supposed to do.  We have hard enough time getting people to run for office.  Softball and Baseball Vice Presidents need to get together to do the scheduling for the fields. 

Kristi and Tom aren’t being notified about cancellations and rescheduling.  The Vice Presidents of the sports need to have meeting with their coaches. 

We need more people to run for offices again this year.
