Open Meeting @ 7:32 pm. Motion to accept by Les; 2nd by Don Varge.

President Report:  Tracy stated that she would hold all tickets for the kid glove games. 

Secretary report:  Minutes read for the November meeting.  Motion to accept by Paul, 2nd by Adam Bailey.

Treasurer’s report:  Read with an ending balance as of Jan 25th of $3395.96 Motion to accept by Jim Jermer, 2nd by Scott Royer.

Vice President’s report:  None

Committee reports:

     Baseball: Mike was not here however Paul Keith said that sign ups were from 10-2 Saturday for both baseball and softball.  He also brought up the kid glove tickets.  We have to decide if we are going to buy them.  We would receive 350 tickets and sell them for $8.00 a piece.  There was some discussion regarding what we have been doing in the past with the credit that we have been given for equipment from the kid glove sales.  Tracy and Paul Keith stated that all the new equipment has been inventoried and is all in the shed.  Tracy also stated that if anyone needed any equipment to let Mike know and he will get it out of the shed. A motion to by the tickets was made by Michelle Smith, 2nd by Don Barge. The vote was 12 for and 1 against.  Then we all voted on the days that we were all interested in which ended up being May 10th, May 23rd, and May 26th.  Game times are at 7:10pm. Tracy is holding 175 tickets for baseball and 175 tickets for softball until March’s meeting, after that it is first come first serve. Tracy will hold all the tickets until they are all sold.  All coaches are to get a total of tickets that they want along with the money and get it to Tracy and she will then give them the tickets.

    Softball: No rep     

    Soccer: Needs a district rep. 

    Basketball:  3 people did not pay for the season however they have filled out statements for the hardship program.  Steve said the Durbin has called him 3 times regarding the gyms.  Durbin stated that they were being left a mess after basketball has been in.  Steve told all the coaches to call him at home ASAP if they get to the gyms and they have trash lying around.  Steve feel’s that it is not our teams causing the problem that it is being left over from high school and Jr high.  He also said that the doors are now locked that go down stairs.   Steve also stated that 7th and 8th grade asked if they could hold their tournaments at the old high school the same day we had our games scheduled.  He said that he agreed to them having the games there however we would get all concession for the whole day.  March 15th will be the end of the basketball season.

     Concession: Nothing to report.

Old Business:

     Pipes were blown out and concession was winterized.  Also Tracy stated that all sports will be billed if any and all equipment is not turned in.  The new By Law change was discussed. The VP will help track all equipment the goes in and out.  The 2005 Budget was requested. Tracy is going to get an estimate from various companies regarding the ditches.

New Business:

     Tracy handed out the BY Laws.  She asked that everyone go over them to make sure they are okay.  She mentioned that in the section listed PLAYING SOFTBALL.  She recommends that we have “you must play each player one full inning.  Paul Keith also stated that we also need to update the classes for softball u6 – u19. She said that each VP should take their league rules and update on a separate sheet of paper showing any changes that we need.  Tracy also stated that she would like to create a web site for WJAA.  Dave said that it would be about $10 to register.  He also said that he would look into donating the space if he had one available.  Tracy said that she would kike for people to be able to download by laws, reg forms, emergency forms, etc.  Tracy motioned to pay the $10 for the web site if we could not get it donated.  Les 2nd it. Michelle brought up getting police checks on each board member and coach.  After a brief discussion it was recommended that we leave it as is at this time.  We set some tentative dates for the Haunted Woods. They are October 20, 21, 22.  This is only a tentative date.  We also want to set a date for kid’s day however we have to wait on June in old Williamsburg to be set first.  Basketball wants to have a clinic and charge $45.00 per person. He would like to set this up some time in June or July.  He would like to have the girls one week and the boys one week.  We could give them a shirt and maybe a water bottle at the camp.  Also, some hotels are willing to sponsor a basketball tournament during a holiday.  We could possibly have one camp in the summer and one camp on a holiday.  We had some discussion and decided to table this until Steve could come up with what weeks would work.  Greg has been in contact with the guy from Dicks and he said that he would be willing to donate $200.-$250. As far as pictures Tracy is going to talk with the photographer regarding tentative dates on Thursday.  As far as baseball VP is concerned, Mike Pope requested that someone step up and allows him to show a new person the ropes of being the VP of baseball.  Adam Bailey is willing to become the VP for the next year.  Adam will follow Mike’s lead for the season and learn the procedures of everything.  Adam will attend any baseball meetings to able him to catch on to what he needs to know for the future.  Mike has agreed to teach Adam what he will need to know and is excited that someone has stepped up to take on the next season.   Dave mentioned that we should hold a Texas Hold’em tournament for a fund raiser for WJAA.  He said that various schools have hosted this tournament and made a lot of money doing so.  We discussed different ideas regarding this and asked that Dave get a little more information about it and we would talk about it at the next meeting. 

Bylaw Change Passed:   The by law change to be read as:  E: EQUIPMENT:  (Equipment, price, disclosure) Upon the completion of the final game in the year in all WJAA sports, the coach will/must surrender all WJAA equipment with in 2 weeks of the last game or the coach will be billed for the replacement cost.  Everyone was for the By Law change effective January 25th 2005
