WJAA Aug Meeting Minutes. Attendance: Tracy Coffey, Kim Imbus, Kristy Fishback, Jim Jermer, Jeremiah Chase, Monte Fitzpatrick, Paul Keith, Travis Fisher, Amber Gilbert, David Hollins, Troy Bach, Scott Royer, Mike Pope Open Meeting @ 8:18 p.m. Motion to accept by Paul, 2nd by Kim Secretary report: Tracy read July Minutes motion to accept as read by Kim, 2nd by Jim Treasurer’s report: Both July and August was read with an Ending Balance in July of 10873.34. Ending balance as of August 22nd of $9706.48. Outstanding payments $921.00 insurance, $2500 soccer fees, $700 ditch work accepted by Jim, 2nd by Kim. Committee reports: Softball: NO REP. Tracy reported that Mike has been looking into different leagues if you know of any let him know. Soccer: Games start Sept. 9th. We requested NO SUNDAYS; however, it was not granted. Field Evaluations Aug. 26th. We have 13 new refs this year. Baseball: NO REP till late. Tracy reported that we still have team fees for tournament participation; however we will have a credit of $455 from umpire pay for tournaments. Graig Barrett would like to build Dugouts on Field 5. For his boyscout badge he has to raise the money, turn in a plan for approval, get the help/workers to construct them. He simply does all the work! With our approval. All was in favor. Basketball: Sign-Ups Oct. 8th 1-3 p.m. check online for more information. Flyers will be sent through school. Cheerleading: Sign-Ups this Saturday check online for more information. Flyers will be sent through school. Haunted Woods: Oct. 19,20,21…Clean-up day August 27th from 12-4. Changing the starting time to 6:30 instead of 6 p.m. Changed the kids age from 12 to 10 for kids prices. Dave suggested a FALL FESTIVAL from 2-6 to Raise money… It would consist of games like at kids day and PREVIEW OF the Haunted WOODS. This would allow parents to take kids that would be scared at DARK to go through it. The Preview would be at 5:30-6:00 with any of those that go through give them 1st Tractor if they would want to return to go through in the evening. Soccer teams would provide 1 assistant for FALL FESTIVAL DAY and 1 assistant for HAUNTED WOODS EVENING + Basketball & Soccer would both provide pumpkins(carved) if we can not get them donated. Dave made a motion to put a gate at the Haunted Woods entrance it would cost $305. It would also hold the sign that goes across it. Hope to keep vehicles out of the woods once it is over. Motion was 2nd by Troy Bach. 6 in favor 0 against 6 opposed. President Report:. Old Business: Soccer Markers Jim will look into making. Allotted 2,000 for infield dirt will be delivered after Haunted Woods. ByLaw to vote on: Refunds K. Fees: 5. Refund Policy a.) Prior to the start of the season, the parent must attend the monthly board meeting with proof of payment to request a registration refund. b.) After the Deadline has approached $10 of the fee will be NONREFUNDABLE; unless the reason for not playing is because of no team available. c.) After the season has started and no game has been played, the parent must attend the monthly board meeting to discuss their circumstance with the District Rep of sport & Treasurer. d.) No refunds will be given by telephone messages, coaches, etc. or after child has played any games. e.) The parent must attend the appropriate meeting based on the time of their request. f.) All refunds will be given back in check form after approval by District Rep. & Treasurer. Passed 8 for 0 against 4 opposed. ByLaw to vote on: P. Special Rules 10. a) All written checks will have dual signature lines signed by Treasurer and President. Passed 6 for 4 against 2 opposed New Business Purchasing paint to line soccer fields are $30 case for 12 cans big field takes about 6-8 cans per time. Going to look into sprayer and purchase by the gallon which is only $15 per GALLON. Travis start mowing on Wed/Thur possibly Friday. More lines are needed in a few weeks: Sub Box, Coaches Box, Diagonal lines. ByLaw Proposal for September: A. ELECTIONS OF OFFICERS 1. a. Nominations will be taken for all elected positions in September. b. Ballots will be handed out to all members present at October meeting. Jim reported that all $2600 was spent on Kids Glove Equipment. It was brought up to do a BARN SALE when Williamsburg does their VILLAGE WIDE yard sale and try to get rid of items. Paul suggested waiting to spend any extra cash until after Haunted Woods. Tracy spelled out how much it cost to run Soccer for 3 months because of the questions/complaints about fees: We are actually LOSING money this year to operate soccer for 3 months!!!! 8930.00 BRING IN FEES; -2250.00 LEAGUE FEES; -1950.00 REF FEES; -180.00 REF CLASS; -746.75 LINE for FIELDS; -4857.00 BILLS/COMPLEX INSURANCE (Just for Aug./Sept./Oct); TOTALING: -1053.75 Divide this by 3 for Aug-Oct and that is: -351.25 PER MONTH it COST us to provide youth soccer. This should be enough for those in question about what does WJAA fees cover! Motion to adjourn meeting at 10:15 p.m. by Dave 2nd by Kristy Fishback. Next meeting was scheduled for Sept 19th at 8:30 p.m. at Complex 1 week earlier! Bylaw proposal change D2 & D3 was passed 11 for and 0 against. Bylaw Proposal: J. Fees: 5. Refund Policy a.) 1.
