WJAA Meeting Minutes

April 25, 2006

 Attendance:    Jim Jermer, Mike Pope, Tracy Coffey, Mike Poole, Paul Keith, Angie Walls,  Travis Fisher,  Lowell Smith, Scott Lefker, Dave Varney, Bob Crider, Jack Tibbs, Kristy Fishback, Troy Bach, Jeff Cummins

Secretary report:        March minutes handed out.  Motion to accept by Paul Keith, 2nd by Mike Poole

Treasurer’s report:    Please see Tresurer for Report.  12 payments on Tractor.

Committee reports:

Softball: County draw is next week for mid-season tournaments.  The tournaments for U7/U8 will be at Burg, U9/U10 at Batavia, U11/U12 at New Richmond on May 19, 20, & 21st.  The tournaments for U13/U14 will be held at Mt. Orab and U15 & up will be June 9, 10, 11th.  Get with Mike Poole if you didn’t go to the mandatory meeting.

Soccer: Signups will be held Kids Day from 11-2.  Signup forms already handed out at the Elementary school.

Baseball:  We are out of scorebooks.  If you need one WJAA will reimburse you if you buy one.  Schedules have been disbursed.  We are having a hard time getting players this year.  The problem seems to be county wide.

Basketball:  We didn’t need to use the gym for tournaments on Sunday so we won’t be charged.  Monte had a banquet for the basketball teams.  We should be getting half the money on shirts that were sold at tournaments.

Concession:    Scott got plumbing fixed.  Everything is ready to go except for the popcorn machine.  Kristi would like to do microwave popcorn instead.  We voted on getting rid of the popcorn machine and going to bagged popcorn and decided to keep the machine (vote was 6 for 3 against).  Kristi would like the people working concession to be there by 5:30 on weekdays.  Coach’s need to make sure their parents are there by that time.  We aren’t selling ice cream this year since it didn’t do good last year.  If you have any ideas for the concession let Kristi know.

Old Business:     Kids Day is June 17. 

Soccer goals have been purchased for the U7/U8 field.

Tracy has made letters to send out asking for donations from local businesses.  Some of the places she went to personally. 

Pictures for Softball/baseball will be 5/8, 5/9, 5/11, & 5/12.  If you still need to sign up please let Tracy know. 

Jim is going to update the first aid kit and put one in the shed.

Kid glove tickets are $8 and are now on sale.  The dates for the games are May 10, May 22 and May 23 and all games will be at 7:10. 

Field rules have been posted in the shed for the coaches to review. 

Baseball/Softball now have boxes like soccer.  Some of the teams have to share a box.  Your duties for Kids Day have been put in your box. 

New Business:  We need more gravel to fill holes.  Josh Brown will look at.

The Bylaws have been updated and Angie handed out tonight.  They were also posted on the website.

Pitching Machines are in the big barn.  Jim will put one in the shed for practices.    

VP fundraising is David Hollins. 

We will be using bagged ice this year at the concession. 

Brooms to sweep the fields are in big barn.  Jim will put 2 in the shed. 

Coaches need to make sure you put up your equipment and your kids take their equipment with them after practices and games.  Please clean up your area after the games and practices.

Measuring tapes are being asked for.  There is one in the barn but we need to purchase more.  Jim will buy at least one more. 

We need to do more cleanup and repairs to the fields.  The benches need replaced and we want to get bids on getting dugouts.  The last few years the park has showed aging.  We need to do some major repairs.  We either need to do some fundraising or get bids and ask Mrs. Mump to help.   Tracy got some bids from Grant and they said they could do some the repairs.  Quote included the drainage (1st bid $5,370; 2nd bid $2,525), sidewalk from equipment barn to concession stand (will take about 15 hours and cost $975).  The concession stand needs repairs to outside (Soffitts) $1,235.  The roof also needs fixed on inside (bird nests).  Tracy and Kristi are going to ask Mrs. Mump for help.  The fencing and yellow pipes need fixed.  Backstops are rusty and need replaced.  Grant can do painting for $8 hour.  We need to do in June or July.  The little equipment barn needs painted also.  Paul Hall will donate picnic tables to WJAA as long as his name can be on them.  The lid behind the concession needs to be locked.  Jim checked into the cost and it will be $75 to get steel.  A motion from Mike Pope to purchase a lid cover was 2nd by Scott Royer and passed.

Mid-Season tournaments are on May 19, 20, 21.  We will have a runner selling snacks at the back fields.  The Grill will be set up Front only.  Make sure grass is mowed.  Auxier will give us a reduced price on propane for the grill.  We need 2 tanks.  The grill will be going on Friday, Saturday, Sunday.  Make sure we are stocked on ice before the games.  We need to put up another sign for NO PETS ALLOWED.  If a pet is on the field the game is forfeit.  Jim will get quotes. 

Flag signs for fields might be donated by A & A Safety.   We also need handicap signs and no parking signs.

Coaches need to call umps to cancel if a game is cancelled.  Kristi will call coaches when the concession will be closed.  Either Tracy or Mike Poole will cal Kristi.  Coaches need to call Mike Poole when they reschedule a game and he will call Kristi for concession.

To get reimbursed for umpire clinic they need to show their card or see Mike Poole to get their $10. 

WJAA will be running a grill for June in Old Williamsburg on June 2, 3, & 4.  Motion was made by Jim Jermer and 2nd by Scott Lefker and was accepted.

Michelle Fisher will look into being in the parade for June in Old Williamsburg.
